The Accounting Intern supports day-to-day accounting operations and helps keep our systems, vendors, and reconciliations accurate and audit-ready. This role is hands-on and is a great opportunity to learn how a modern accounting team manages accounts payable, budgeting, reconciliations, and month-end activities using cloud-based tools.

Responsibilities:

Bill.com: Accounts Payable and Vendor Management

  • Manage the A/P inbox: review new invoices and new vendor submissions, code bills, and route items for approval.
  • Create and maintain vendor profiles to ensure clean and consistent records.
  • Collect and track W-9 and ACH information, and follow up with vendors as needed.
  • During downtime, organize documentation by uploading W-9s, ACH details, and contracts from SharePoint into the appropriate vendor profiles.
  • Fill in missing vendor contact information and confirm accuracy.
  • Investigate and resolve Bill.com and QuickBooks Online sync errors.

Ramp.com: Expense and Accounts Payable Pilot

  • Pilot Ramp A/P by paying an invoice through Ramp and documenting the end-to-end process.
  • Perform the initial accounting review for Ramp transactions, including proper categorization and required receipts.
  • Prepare approved transactions for syncing to QuickBooks Online (QBO)

Budgyt.com: Budget Tracking Support

  • Support budget tracking by reviewing actuals vs. budget and flagging missing or unusually large retainers (monthly or quarterly).
  • Coordinate with department administrators to retrieve missing invoices or supporting documentation. Bank and Account Reconciliations
  • Assist with Bank of America bank reconciliations.
  • Support reconciliation of the ESA PAC account. Payroll and Benefits Reconciliations
  • Assist with payroll-related benefit reconciliations (for example, Mutual of Omaha). Balance Sheet and Month-End Support
  • Help analyze balance sheet accounts and ensure accounts that should be zero are reconciled and supported.
  • Assist with reconciliations for accounts such as transportation, Mutual of Omaha, and employee personal expenses.
  • Support prepaid reconciliations and tracking.
  • Post investment activity and reconcile as needed under supervision. Compliance, Process Improvement, and Other Support
  • Assist with filing Washington, DC use tax.
  • Create and update standard operating procedures (SOPs) for recurring accounting tasks.
  • Other duties as assigned to support the Finance and Accounting team.

Qualifications

  • Currently pursuing a degree in Accounting, Finance, Business, or a related field.
  • Strong attention to detail and commitment to accuracy.
  • Comfortable working with numbers, reconciling differences, and following documented
  • Proficiency with spreadsheets (Excel or Google Sheets).
  • Ability to handle confidential information with professionalism and discretion.
  • Clear written and verbal communication skills. Preferred
  • Familiarity with cloud accounting tools such as Bill.com, Ramp

Work Location: 

  • Due to the organization’s hybrid schedule, interns with Monday and Friday schedules would work remotely.
  • Tuesday, Wednesday and Thursday hours would be completed at the ESA offices located in downtown Washington D.C.
  • Interns must be able to work at least half of their total weekly hours from ESA offices Tuesday through Thursday.
